Servants of God of St. Augustine (“Servants of God of St. Augustine,” “the Monastery,” “we,” “us,” or “our”) respects the privacy of visitors, donors, subscribers, prayer-request senders, vocation inquirers, applicants, volunteers, and others who interact with us.

This Privacy Policy explains what personal information we collect through https://www.osamonk.org (the “Site”) and related online communications, how we use and disclose that information, how long we retain it, and the choices and rights that may be available to you.

This Policy is intended to provide a clear and meaningful description of our practices under applicable United States privacy laws. Privacy rights and obligations vary by jurisdiction, and certain provisions below apply only where required by applicable law.


1. PERSONAL INFORMATION WE COLLECT

Depending on how you interact with us, we may collect the following categories of personal information:

A. Information you provide directly

• Contact information, such as your name, email address, telephone number, mailing address, and preferred language.
• Communications and form content, including messages submitted through contact forms, prayer requests, questions, comments, and correspondence.
• Newsletter information, such as your email address, subscription preferences, and preferred language.
• Donation and transaction information, such as your name, email address, mailing address, donation amount, date, transaction identifier, and information provided to us by the applicable payment processor.
• Vocation, volunteer, employment, or program inquiry information that you choose to provide, such as a résumé, cover letter, references, qualifications, background information, or other application materials.
• Event or registration information that you provide if you register for an event or activity.
• Any other information you voluntarily provide to us.

B. Information collected automatically

When you visit the Site, our website host, security providers, and related technology providers may automatically process information such as:

• Internet Protocol (IP) address.
• Browser type and browser settings.
• Device type and operating system.
• Referring page or URL.
• Pages viewed and approximate date/time of access.
• Technical logs and information used to operate, secure, troubleshoot, and protect the Site.
• Information used to detect spam, fraud, abuse, or automated activity.

We do not intentionally use this information to create advertising profiles about visitors or to infer a visitor’s religious beliefs for advertising purposes.

C. Information received from third parties

We may receive limited information from service providers and third parties that help us operate the Site or fulfill a request. For example, a payment processor may provide us with transaction information associated with a donation.


2. PRAYER REQUESTS, RELIGIOUS INFORMATION, AND OTHER SENSITIVE INFORMATION

Because we are a religious organization, information that you voluntarily provide may sometimes reveal information that certain laws consider “sensitive data” or “sensitive personal information,” including religious beliefs or information concerning physical or mental health.

For example, a prayer request may mention a person’s illness, medical condition, family situation, religious concerns, or other private circumstances.

Please provide only the information reasonably necessary for the purpose of your request. Do not submit Social Security numbers, passwords, full financial account numbers, government identification numbers, complete medical records, or other highly sensitive information through general website forms or ordinary email.

When sensitive information is voluntarily provided to us, we use it only for purposes reasonably related to the reason it was submitted, such as:

• Receiving and responding to a prayer request.
• Pastoral or spiritual communication requested by the sender.
• Responding to a vocation or membership inquiry.
• Processing an application or inquiry voluntarily initiated by the individual.
• Protecting the safety and security of individuals and the Monastery.
• Complying with applicable legal obligations.

We do not sell sensitive information, and we do not use prayer-request content or other sensitive information for targeted advertising.

Where applicable law requires affirmative consent before we collect or process certain sensitive personal data or consumer health data, we will seek that consent through an appropriate notice or consent mechanism.

We do not provide medical diagnosis, treatment, or health-care services through the Site. A prayer request should not be used to send emergency medical information or to request emergency assistance.


3. HOW WE USE PERSONAL INFORMATION

We may use personal information for the following purposes:

• To operate, maintain, secure, and improve the Site.
• To respond to inquiries, messages, and prayer requests.
• To communicate with individuals who contact the Monastery.
• To process newsletter subscriptions and send requested communications.
• To process and acknowledge donations.
• To maintain accounting, tax, charitable-giving, and other legally required records.
• To administer events, programs, volunteer activities, vocation inquiries, or applications.
• To protect against spam, fraud, abuse, malicious activity, and security threats.
• To investigate or prevent misuse of the Site.
• To enforce our terms, policies, and legal rights.
• To comply with applicable laws, regulations, court orders, subpoenas, or lawful government requests.
• To establish, exercise, or defend legal claims.
• For other purposes disclosed to you at the time information is collected or with your consent where consent is required.

We seek to collect and use only the personal information reasonably necessary and proportionate to these purposes.


4. NEWSLETTERS AND EMAIL COMMUNICATIONS

If you voluntarily subscribe to our newsletter or other email communications, we may use your email address and subscription preferences to send the communications you requested.

You may unsubscribe at any time by using the unsubscribe link included in an email, when available, or by contacting us at monks@osaprim.org.

We may keep a limited suppression record after an unsubscribe request so that we can honor your preference and avoid sending unwanted communications.


5. DONATIONS AND PAYPAL

The Site currently provides a donation option through PayPal or may use another third-party payment processor.

When you make a donation through PayPal, your payment information is processed by PayPal. PayPal acts as an independent controller of personal information that it processes for its payment services. PayPal’s processing is governed by its own privacy statement.

We may receive limited information from PayPal that is necessary to record and administer a donation, such as donor contact information, donation amount, date, and transaction details.

We do not intend to collect or store your full payment-card number or online-banking credentials through our Site.

If we use a different payment provider in the future, that provider may process payment information under its own privacy policy and legal terms.


6. WEBFLOW

The Site is hosted and operated using Webflow. Webflow may process website-hosting data, technical logs, and information submitted through Webflow-powered forms on our behalf as necessary to provide website and related services.

Information processed by Webflow may be stored or processed in the United States and by its authorized subprocessors in accordance with Webflow’s terms and privacy documentation.


7. GOOGLE reCAPTCHA AND SECURITY TECHNOLOGIES

We use Google reCAPTCHA or similar security technology to protect website forms from spam, fraud, abuse, and automated submissions.

In connection with reCAPTCHA, technical information may be processed for security and risk analysis, including information such as an IP address, browser or user-agent information, device information, interaction data, and security signals.

Google reCAPTCHA may set a necessary cookie, including the “_GRECAPTCHA” cookie, for risk analysis and security purposes.

Google processes reCAPTCHA customer data on our behalf for the purpose of security, fraud prevention, and abuse prevention, subject to the applicable Google Cloud terms and data-processing terms.

8. COOKIES AND SIMILAR TECHNOLOGIES

The Site and its service providers may use cookies, local storage, technical logs, and similar technologies that are necessary to:

• Operate and display the Site.
• Maintain security.
• Prevent spam, fraud, and abuse.
• Remember necessary website preferences.
• Diagnose technical problems.

We do not currently intend to use personal information collected through the Site for cross-context behavioral advertising or targeted advertising.

9. HOW WE DISCLOSE PERSONAL INFORMATION

A. Website, hosting, and technology providers
For example, Webflow and providers that support website hosting, form processing, security, infrastructure, email delivery, or technical operations.

B. Security and fraud-prevention providers
For example, Google reCAPTCHA and other services used to protect the Site.

C. Payment processors
For example, PayPal when a visitor chooses to make a donation.

D. Professional advisers
We may disclose information to attorneys, accountants, auditors, insurers, or other professional advisers when reasonably necessary.

E. Government authorities and legal recipients
We may disclose information when we reasonably believe disclosure is required by law, legal process, court order, subpoena, or lawful government request, or when necessary to protect legal rights, safety, property, or security.

F. Organizational transactions
If the administration or legal structure of the organization changes, information may be transferred as part of a lawful merger, reorganization, transfer of assets, or similar transaction, subject to applicable law.

We do not sell personal information for monetary consideration.

We do not knowingly share personal information for cross-context behavioral advertising or use personal information for targeted advertising as those concepts are defined under applicable comprehensive U.S. state privacy laws.


10. DATA RETENTION

We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for legitimate operational, pastoral, accounting, security, tax, legal, and recordkeeping needs.

The retention period depends on factors such as:

• The nature of the information.
• The reason the information was provided.
• Whether an individual remains subscribed to a communication.
• Applicable tax, accounting, charitable-record, or legal requirements.
• The need to prevent fraud, protect security, resolve disputes, or enforce agreements.
• Whether continued retention is reasonably necessary for an ongoing relationship, application, vocation inquiry, program, or requested pastoral communication.

When information is no longer reasonably necessary, we may delete it, anonymize it, or securely dispose of it, subject to applicable legal requirements.

Donation and financial transaction records may be retained for the period reasonably necessary to satisfy tax, accounting, audit, and legal requirements even after other information has been deleted.


11. DATA SECURITY

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

We also seek to limit access to personal information to those who reasonably need it for legitimate organizational purposes.

No website, email system, database, or internet transmission can be guaranteed to be completely secure. For that reason, please do not send highly sensitive information through ordinary website forms or email unless specifically requested and an appropriate method has been provided.

If a security incident involving personal information occurs, we will take reasonable steps to investigate and respond and will provide legally required notices when applicable.


12. YOUR PRIVACY RIGHTS

Depending on your state of residence and whether an applicable privacy law covers our processing, you may have one or more of the following rights:

Because we do not currently sell personal information or use it for targeted advertising, an opt-out request relating solely to those practices may not result in a change to our current practices.

Authorized agents may submit requests where permitted by law. We may take reasonable steps to verify the agent’s authority and the identity of the person on whose behalf the request is made.


13. DELAWARE PRIVACY NOTICE

The Delaware Personal Data Privacy Act may apply to certain nonprofit organizations that meet the law’s applicability thresholds.

Where the Delaware Personal Data Privacy Act applies, Delaware residents may have rights to access, correct, delete, obtain a copy of personal data, opt out of certain processing, and exercise applicable rights concerning sensitive data.

Requests and appeals may be submitted using the process described in Section 12 above.

We do not sell personal information for money.

We do not knowingly sell or share personal information for cross-context behavioral advertising, and we do not knowingly use personal information for targeted advertising.

If our practices change in a way that creates a legally required opt-out right, we will provide the required method of opting out and will honor legally recognized opt-out preference signals, such as Global Privacy Control, where required by applicable law.


15. CONSUMER HEALTH DATA

A person may voluntarily include health-related information in a prayer request or other message. We do not ask visitors to provide detailed medical records through general website forms.

To the extent a U.S. consumer-health-data law applies to information we collect:

  • Health-related information is obtained directly from the person submitting the request or from another person who voluntarily provides it.
  • We use such information only for the purpose for which it was voluntarily submitted, such as receiving a prayer intention or responding to a requested pastoral communication, and for related security or legal purposes.
  • We do not sell consumer health data.
  • We do not use consumer health data for targeted advertising.
  • We may disclose such information to service providers only as reasonably necessary to transmit, store, secure, or process the communication on our behalf, or when disclosure is required by law.
  • Where applicable law requires affirmative consent before collection or sharing, we will obtain the required consent.
  • Where applicable law gives a consumer rights to access, delete, or withdraw consent concerning consumer health data, a request may be submitted using the process in Section 12.

If you are submitting a prayer request concerning another person, please respect that person’s privacy and provide only the information reasonably necessary for the prayer intention.


16. CHILDREN’S PRIVACY

The Site is not directed to children under 13, and we do not knowingly collect personal information online from children under 13 in a manner subject to the Children’s Online Privacy Protection Act (“COPPA”).

If we learn that we collected personal information online from a child under 13 without legally required parental consent, we will take reasonable steps to delete it.

We do not knowingly sell personal information of minors or use minors’ personal information for targeted advertising.


17. THIRD-PARTY WEBSITES AND SERVICES

The Site may contain links to third-party websites, social-media services, Catholic organizations, diocesan resources, payment services, or other external services.

When you follow a third-party link, that third party’s privacy practices apply. We do not control and are not responsible for the privacy or security practices of third-party websites or services.

We encourage you to review the privacy policy of any third-party service before providing personal information.


18. INTERNATIONAL VISITORS AND U.S. PROCESSING

The Monastery is based in the United States, and the Site is operated using service providers that may process information in the United States and other countries.

If you access the Site from outside the United States, your information may be transferred to and processed in jurisdictions whose privacy laws differ from those in your country.

Where an applicable law imposes additional requirements on an international transfer or gives you additional privacy rights, we will seek to comply with those requirements to the extent they apply to our processing.


19. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our Site, services, technology, legal requirements, or privacy practices.

When we make changes, we will post the revised Policy on the Site and update the “Last Updated” date above.

If a change materially affects how we use personal information and applicable law requires additional notice or consent, we will provide that notice or request consent as required.
